Dear colleagues,

 

In case you missed it, the call for proposals for Technology Exchange 2024 is now open for talks, tutorials, and workshops in the following areas of interest:

  • Advanced Networking
  • Cloud Technology
  • Identity & Access Management
  • Information Security

 

The deadline for submissions is May 10. Proposals will be reviewed by a program committee consisting of your peers. To help increase your chances of writing a successful proposal, our meetings team has compiled a list of best practices to keep in mind.

 

  1. Collaborate with Educational or Government Entities: Ensure that at least one presenter from a .edu or .gov organization is part of your proposal. Ideally, let them submit the proposal to enhance the credibility and relevance of your proposal. Proposals solely from for-profit organizations are less likely to be accepted without strong research and education (R&E) backing. If changes to the submitter are necessary post- submission, contact with the details and cc the new submitter as an acknowledgement of their consent.
  2. Clear Session Outcomes: Define clear outcomes that align with the session's objectives.
  3. Clear and Concise Title: Keep your presentation title clear and concise, with a maximum of 40 characters, to ensure it fits on the agenda and captures the essence of your talk. Your title should grab attention through action and impact, rather than a technical solution description.
  4. Detailed Abstract: Use the abstract field to provide a detailed description of your presentation. Include key points and issues you will address. There is no character limit, so supporting documents that strengthen your proposal are encouraged.
  5. List of Co-presenters: Clearly list all potential co-presenters, including their organizational affiliations and contact information. This transparency helps the committee understand the breadth and depth of expertise behind the presentation.
  6. Careful Track Selection: Select the most relevant primary track for your presentation. If your topic spans multiple areas (e.g., Advanced Networking and Information Security), consider adding a secondary track so that both review teams may consider the proposal.
  7. Focus on Value, Not Promotion: Frame your proposal to highlight the educational value, relevance, and supporting use cases to the higher education community, rather than focusing on promoting products or services. Proposals that resemble sales pitches are typically not well-received.
  8. Incorporate Case Studies or Success Stories: Include real-world applications, case studies, success stories, and its impact involving collaborations between your company and higher education institutions. Highlight specific colleges or universities in your proposal to underscore these successful collaborations. This approach demonstrates practical benefits and learning outcomes.
  9. Engage with Current Issues: Address current challenges and trends in higher education in your presentation. This shows that your company is engaged with ongoing academic concerns and is contributing thoughtfully to discussions.
  10. Interactive Components: Propose interactive elements such as design-thinking exercises, Q&A sessions, live polls, small group discussions, or interactive activities to engage the audience.
  11. Provide Educational Resources: Offer to provide educational materials or resources that attendees can access post-conference. This can include white papers, instructional videos, or access to online platforms that extend the learning experience beyond your session.
