Marie,

For the talk that Dan Halperin and I are giving, on Thursday at 2:00 pm (now 1:40 - 2:30 according to Susan Evett), we’re in Grand Ballroom D/E (5th).  

We have some demos to show during this talk, so is it possible for us to use our own computers (especially if we promise to be very capable AV people)?

This email references program session only, running on Tues through Thursday, not tutorials or demos.  So sessions in Grand Ballroom D/E for Advanced Networking, Nottoway for Information Security, and Grand Chenier for Cloud Architecture.
 
We are asking that all speakers use the podium laptop provided if at all possible but in this case I will note that you need to use your own laptop.  I did not receive any special requirements such as audio for this demo so if there are any please advise urgently.  Our production team will be providing an additional HDMI drop in the Advanced Networking room so you don’t need to disconnect the podium laptop.

Does A apply to tutorials and official Demo sessions?
 
For my talk on Wed, 12/11 at 9am, Edge-to-Edge Orchestration of Services: Where are we?, I will be doing a live demo and will need to use my laptop.

Greetings,
 
Thank you for agreeing to present a talk at the 2019 Technology Exchange! We are hoping you will follow a few simple presentation guidelines to ensure a smooth event.
 
  1. This year, all presenters in the Advanced Networking, Information Security, or Cloud Architecture tracks must use the podium laptops in each room unless they have made advanced arrangements. Presenters in the InCommon track must provide their own laptops  Internet2 will provide an HDMI cable. You should bring your own HDMI-capable computer or dongle and be ready to plug in.
  2. Presenters must present from the podium; panelists can answer questions from the head table (if one was requested) but the primary speaker should use the podium.
  3. Please check the location, day, and time for your session in the online agenda.
 
To ensure the best participant experience, we strive to post session-related materials and slides on-or-before the actual presentation. To help us achieve this goal:
 

1.       DEADLINE: Presentations must be submitted on or before Wednesday, December 4. Please take a moment to submit your presentations as soon as possible. We promise we will update these files upon receipt of a newer version!

2.       Information on best practices for presentations, naming conventions and appropriate file types to submit, and overall speaker guidelines can be found HERE.  

3.       Updating posted presentation materials — if you submit a version by December 4, it will be linked off the online agenda and ready on the podium laptop for your presentation when you arrive in your assigned room. If you need to provide an updated version, please ensure you have renamed your material (i.e., add “v1” to existing name) to ensure the correct version is posted to the online agenda.

4.       All presentations submitted will be available at the podium laptops. If your presentation has not been submitted at the time of your talk, a room monitor will be able to transfer your talk to the podium laptop, but your talk start-time may be delayed!

5.       We ask that all speakers pre-register.  If you have not yet registered, please do so at: << http://meetings.internet2.edu/2019-technology-exchange/attendee-information/registration/ >>.  This will save you time when checking in at the Registration Desk and will ensure that your name badge is prepared in advance.  

6.       We ask that attendees wear their name badge at all times. If you lose your badge, a replacement will be provided at the registration desk.  

7.       If you are aware of any speakers in your session not listed on the program, please forward this notification and let me know of any changes (include name, organization, and email), to ensure the online program is accurate.
