Dear Heather
Thank you for participating in our upcoming Fall 2008 Internet2 Member Meeting. Please read this message thoroughly and please share with your co-presenters. It contains important logistical information regarding your upcoming presentation and a request for information.
AT-A-GLANCE DEADLINES
Session Information (detailed below) is required no later than Friday August 15. Standard A/V (see below) will be provided if no response is received - thank you
ALL on-site speakers/presenters/moderators should register by Monday August 18 at 11:59 PM EDT to secure the discounted rate. Remote presenters are NOT required to register.
Reserve your lodging to secure the discounted rate by Wednesday September 10, 5:00 PM local time.
Final presentations to be sent to no later than Monday October 6.
We have your track session COmanage – Infrastructure for All Sizes scheduled for Tuesday, October 14 from 4:30PM-5:30PM. Please review and confirm the title listed. Are there any critical conflicts with this time slot?
We are now gathering the next round of information related to your session. In order to ensure the accuracy of the program and your audio/visual requirements, please provide the following information no later than Friday August 15:
1. Speakers and Abstract: Please visit << http:// events.internet2.edu/2008/fall-mm/agenda.cfm? event=911&day=&track=&details=on >> to see your session listing. The speakers submitted to date, will be added to the online program within the next few days. Please check back regularly to ensure the accuracy of your session information. If you have not submitted any speakers, please submit them to me via email (). It is important to include name, organization (one organization per person, please) and email addresses for each. If you have already submitted a list of speakers and abstract, but would like to make changes, please forward these to me.
2. Room Configuration: Your audience seating will be "theater style" (chairs in rows facing the front of the room), unless otherwise stated. Do you require a head table? If so, for how many?
3. Audio/Visual: In order to ensure the success of the technology aspect of your session, we need to know your audio/visual needs . All track session rooms will have a data projector, podium, power strip for the speaker(s), speaker microphone (if necessary), and a network connection. Please consult with any co-presenters and specify here if you require further A/V (i.e. additional projector/ screen, TV/VCR package). Remote presenters: Please confirm if any of your speakers wish to present remotely. Patti Hogue will follow up with you very shortly for additional information. In advance of that communication, please begin to gather your remote site(s) technical contact info [name, phone, email] for each remote location. If you already have that information, please forward to me. Inclusion of demos: Please confirm if you plan to present a demonstration within your track session and specify any special requirements in that regard. You will be contacted shortly to discuss your needs further.
4. Presentations: Please send your final presentations to: . To ensure accurate posting, please be sure to include your full name and title, date, time and title of presentation. If you would like your presentation available on the Internet2 web site at the time of your presentation, you must have it submitted no later than Monday October 6.
IMPORTANT ADDITIONAL REMINDERS
Please remind ALL on-site speakers/presenters/moderators in your session (including you if you are a speaker!) to register by Monday August 18 (in order to secure the discounted registration rate) on- line at: << http://events.internet2.edu/2008/fall-mm/ registrationintro.html >>. Remote presenters are not required to register. This will also save you time when checking in at the Registration Desk and will ensure that your name badge is prepared in advance - thank you.
